You’ll be the founder’s right hand in a fast-moving, construction-focused business—keeping client work organized, accurate, and on track. You’ll manage day-to-day communications, calendars, proposals, invoices, and CRM hygiene while turning meeting notes into clear next steps and moving projects forward without hand-holding. Key Responsibilities

• Manage inboxes, handle client communications, and monitor calls/texts with timely follow-ups.
• Own scheduling and calendar management; create a daily to-do list for the founder and proactively clear tasks.
• Send proposals and follow up; prepare invoices, pull receipts, and maintain accurate records.
• Maintain CRM hygiene (JobTread) and documentation; audit client accounts for accuracy and completeness.
• Create and update SOPs and internal processes to improve efficiency.
• Capture meeting notes and convert them into actionable tasks; track to completion.
• Support monthly newsletters and light social media needs for clients.
• Identify gaps or blockers early; resolve independently or escalate with context and options.
• Research tools/solutions and handle ad-hoc tasks to keep work moving.

Ideal Candidate

• Spanish–English bilingual (spoken required; written Spanish a plus); Portuguese is a bonus.
• Confident, proactive, and highly organized “Type A” operator who thrives with autonomy.
• Excellent attention to detail, follow-through, and client-service mindset; calm under shifting priorities.
• Clear, direct communicator with integrity and a friendly, professional tone; comfortable with construction clients.
• Tech-savvy and quick to learn new software.

Nice to Have (Tools)

• JobTread, Google Workspace/Gmail, Outlook, Slack, QuickBooks.
• Trello or ClickUp, Canva, and AI tools (e.g., ChatGPT).

Employment & Compensation (W2)

• Status: W2 employee (background check required).
• Hours: 15–20 hours/week to start; flexibility between 9:00 a.m.–6:00 p.m. EST.
• Path: Opportunity to increase hours and grow into a full-time Project Coordinator within ~6 months.
• Rate: $25/hour USD.
