The Virtual Assistant will oversee the full lifecycle of operational support. From inbox and calendar management to reporting and cross-team coordination, ensuring seamless communication between internal stakeholders and external partners. This role suits a detail-oriented professional with strong project coordination, client support, and communication skills, comfortable working across tools like HubSpot, Slack, Google Workspace, and project management platforms.

Key Responsibilities

  • Manage shared inboxes, calendars, and task boards (Notion, ClickUp, Asana) and uphold scheduling integrity.
  • Prepare and format documents, reports, and presentations; maintain clean, accurate data across dashboards and spreadsheets.
  • Support the Executive Assistant with daily administrative tasks, follow-ups, and deadline tracking across departments.
  • Coordinate travel, events, offsites, and expense tracking; handle related logistics end-to-end.
  • Maintain organized digital filing systems; keep records up to date across platforms (Google Drive, HubSpot, internal tools).
  • Monitor process adherence; identify and propose efficiency improvements to reduce manual work.
  • Conduct light research and compile briefs for leadership meetings and executive reports.
  • Organize leadership meetings, team offsites, and company-wide initiatives; document action items and outcomes.
  • Ensure confidentiality and professionalism in all communications.

Ideal Candidate

  • Please submit your resume in English.
  • Native English speaker (or professional level proficiency).
  • 2+ years as a Virtual Assistant, Administrative Assistant, or Operations Support in a fast-moving, remote environment.
  • Exceptional written and verbal communication; strong stakeholder management and follow-through.
  • Advanced Google Workspace (Docs, Sheets, Slides, Calendar, Drive).
  • Proficiency with project management tools (ClickUp, Notion, Asana or similar) and collaboration tools (Slack, HubSpot).
  • Excellent organization, time management, and attention to detail; able to juggle multiple priorities.
  • Discreet, reliable, and trustworthy with sensitive information.
  • Proactive, solutions-oriented mindset with a “no task too small” approach.
