You’ll provide high-impact executive support by combining strong organization with proactive problem-solving in a fast-paced, tech-driven environment. This role blends operational execution with strategic support by managing priorities, protecting executive time, and ensuring smooth coordination across projects, tools, and teams. You’ll work closely with leadership, turning fast-moving ideas into structured actions while improving systems, workflows, and overall efficiency.

Key Responsibilities

  • Manage executive calendars, emails, and priorities with a strong focus on time protection and efficiency.
  • Coordinate travel plans, meetings, and scheduling, including podcasts and speaking engagements.
  • Act as a central point of coordination to keep projects moving and ensure clear communication across teams.
  • Support cross-functional project management by tracking progress and following through on deliverables.
  • Conduct research for opportunities, partnerships, and special initiatives.
  • Improve processes through delegation, automation, and system optimization.
  • Manage tasks and updates using tools like ClickUp and other digital platforms.
  • Filter executive decisions, ensuring clarity and timely execution of next steps.
  • Provide general administrative, financial, and operational support as needed.
  • Organize information, ideas, and requests into clear, actionable outputs.

Nice to Have

  • Experience with tools such as Google Workspace, Slack, ClickUp, GoHighLevel or ActiveCampaign, and Xero.
  • Familiarity with AI tools and automation platforms like ChatGPT, Fyxer, and Fathom.

Position Details & Benefits

  • 1099 contractor role with potential transition to full-time employment.
  • 30–40 hours per week with a flexible schedule between 8:00 AM and 5:00 PM CST.
  • Pay rate is $30 per hour and is non-negotiable.
  • Benefits may include flexible PTO, healthcare stipend, and performance or holiday bonuses.
