The virtual assistant will keep day-to-day operations running smoothly across scheduling, inboxes, documentation, reporting, and light project work, while building simple systems that make the team faster and more reliable. Expect hands-on execution, clear communication with clients and stakeholders, and thoughtful use of AI/automation to remove friction.
Key responsibilities
• Manage calendars, appointments, meeting logistics, travel, and small events.
• Organize inboxes, triage messages, and drive follow-through on action items.
• Prepare, edit, and maintain docs, decks, and spreadsheets; keep records current in CRMs and ops tools.
• Track tasks in project tools; surface blockers, send reminders, and keep routines on schedule.
• Build and refine SOPs, checklists, and workflows that improve efficiency and consistency.
• Support recurring operational tasks and small projects with dependable, on-time execution.
• Communicate professionally in each client’s tone; provide status updates and next steps.
• Recommend simple tools, templates, or automations that save time and reduce errors.
Ideal candidate
• 1–3+ years in administrative or operational support (remote experience a plus).
• Strong written and verbal communication; clear, concise, and client-ready.
• Detail-driven with reliable follow-through; comfortable juggling multiple priorities.
• Confident with Google Workspace/Microsoft Office, CRMs, project tools, and workflow platforms.
• Thoughtful use of AI to draft, summarize, and streamline—not replace judgment.
• Available during standard business hours, Monday–Friday, with reliable video-call presence.
• Professional home setup: modern computer (8GB+ RAM), high-speed internet, quiet workspace.
• Preference for contractors able to commit ~12 months for continuity.
