Virtual Assistant Law
You will provide essential administrative and legal support to attorneys and paralegals while helping keep client communications, case documents, schedules, and daily operations organized. This role combines legal administration, bilingual client support, document preparation, scheduling, research, and case coordination, focusing on ensuring legal professionals can manage their workload efficiently while clients receive timely and professional support in both English and Spanish.
Key Responsibilities
- Provide day-to-day administrative and clerical support to attorneys and paralegals across legal matters and client activities.
- Draft correspondence, transcribe dictations, prepare legal documents, and assist with other administrative assignments.
- Manage attorney calendars, schedule appointments, and coordinate meetings, conference calls, and important deadlines.
- Organize and maintain electronic and physical case files, ensuring documents are accurately labeled, stored, and easily accessible.
- Serve as a key point of contact for clients, responding professionally to phone and email inquiries in both English and Spanish.
- Support client intake by gathering required information, maintaining accurate client records, and updating databases.
- Coordinate client meetings and prepare documents, materials, and information required for discussions.
- Draft, edit, format, and organize legal documents including contracts, pleadings, briefs, memoranda, and correspondence.
- Proofread legal documents for grammar, accuracy, formatting, and compliance with applicable requirements.
- File documents with courts, government agencies, and other relevant entities while monitoring filing requirements and deadlines.
- Conduct assigned legal research involving statutes, regulations, case law, and other relevant legal resources.
- Summarize research findings and prepare reports or memoranda for review by attorneys and paralegals.
- Assist with the preparation of legal arguments, briefs, and other written submissions.
- Support billing and invoicing activities, including tracking billable hours and preparing expense reports.
- Collaborate with attorneys, paralegals, and other team members on special projects and ongoing firm initiatives.
Ideal Candidate
- Previous experience as a Legal Assistant, Legal Secretary, Paralegal Assistant, Virtual Legal Assistant, or in a similar legal support position.
- Strong understanding of legal terminology, documentation, procedures, and administrative workflows.
- Professional proficiency in both English and Spanish, with excellent written and verbal communication skills.
- Experience preparing, editing, proofreading, organizing, and managing legal documents.
- Strong organizational and time-management skills with the ability to manage multiple assignments and deadlines simultaneously.
- Comfortable communicating directly with clients while maintaining professionalism, empathy, and accuracy.
- Proficient with Microsoft Office applications, including Word, Excel, and PowerPoint.
- Familiarity with legal software, case management platforms, document management systems, or similar tools.
- Able to work independently and remain productive within a fully remote environment.
- Strong attention to detail with the ability to maintain accuracy across legal documents, client records, and administrative tasks.

Other Requirements
